Form Wizard in MS Access

Form Wizard is a tool in Microsoft Access that helps you create forms step by step. You can select fields from tables or queries, choose a layout, and save the form with a suitable name.

1. What Is Form Wizard?

Form Wizard guides you through the process of creating a form without requiring you to design the entire layout manually.

Example: Student Admission Form
Student Admission

This is an illustrative form layout. Form Wizard creates the actual working form inside Microsoft Access.

Advantages of Form Wizard
  • Creates forms quickly.
  • Allows you to select only the required fields.
  • Provides multiple form layouts.
  • Reduces manual design work.
  • Creates forms connected to tables or queries.

2. Preparing a Table for Form Wizard

Before using Form Wizard, create a table containing the fields you want to display in the form.

Example: Students Table
Field Name Data Type
StudentID AutoNumber
StudentName Short Text
FatherName Short Text
Course Short Text

Save the table as Students. You can now use it as the source for your form.

  1. Open your Microsoft Access database.
  2. Click the Create tab on the ribbon.
  3. Find the Forms group.
  4. Click Form Wizard.

In the wizard, you can select the table or query that contains the fields you want to use.

5. Choosing a Form Layout

After selecting fields, Form Wizard allows you to choose a layout for displaying the records.

Layout Description Suitable For

Steps

  2. Preview the layout if the wizard offers that option.
  3. Click Next to continue.
Recommendation: Columnar layout is generally suitable for student admission forms because it displays one student's details at a time.

6. Choosing a Style and Title

Depending on the Access version and wizard options, you may be able to choose a style for your form. You will also be asked to provide a form title.

Steps
  1. Select a style if the option is available.
  2. Click Next.
  3. Enter a suitable form name.
  4. For example, enter frmStudentAdmission.
