Report Wizard in MS Access

The Report Wizard in Microsoft Access helps you create reports step by step. You can select fields from tables or queries, arrange the data, choose grouping and sorting options, select a layout, and give the report a meaningful name.

1. What Is Report Wizard?

Report Wizard is a tool that guides you through the process of creating a report. It is useful for beginners because you do not need to design the entire report manually.

Uses of Report Wizard
  • Selecting fields from a table or query.
  • Grouping related records.
  • Sorting records in ascending or descending order.
  • Selecting a report layout.
  • Choosing portrait or landscape orientation.
  • Giving the report a title and saving it.
Example: You can use Report Wizard to create a student report containing Student ID, Student Name, Course, and Mobile Number.

2. Preparing Data Before Creating a Report

Before opening Report Wizard, make sure your database contains the required information.

Example: Students Table
StudentID StudentName Course City
101 Rahul Kumar ADCA Aurangabad
102 Priya Singh Tally Prime Patna
103 Amit Kumar ADCA Aurangabad
104 Neha Kumari Web Development Patna

In this example, the Students table contains four records. We will use Report Wizard to create a report from this data.

3. Opening Report Wizard

Steps to Open Report Wizard
  1. Open Microsoft Access.
  2. Open your database file.
  3. Click the Create tab on the ribbon.
  4. Find the Reports group.
  5. Click Report Wizard.
  6. Wait for the Report Wizard dialog box to open.
Note: The position and appearance of commands may vary slightly depending on your version of Microsoft Access.

4. Selecting a Table or Query

The first step inside Report Wizard is to select the data source for your report.

Steps
  1. Open the Table/Queries drop-down list.
  2. Select the table or query containing your data.
  3. Review the available fields.
  4. Choose the fields you want to display in the report.
Example

Select the Students table and include these fields:

  • StudentID
  • StudentName
  • Course
  • City

The available fields depend on the selected table or query.

5. Adding and Removing Fields

Report Wizard provides controls for moving fields between the available fields list and the selected fields list.

  3. Repeat for all required fields.

6. Adding Grouping Levels

Grouping organizes records according to a common field. For example, you can group students by course so that all ADCA students appear together.

Example: Group Students by Course

Suppose the table contains these records:

  • Rahul Kumar — ADCA
  • Priya Singh — Tally Prime
  • Amit Kumar — ADCA
  • Neha Kumari — Web Development

The report can organize the students like this:

Course: ADCA

Rahul Kumar

Amit Kumar

Course: Tally Prime

Priya Singh

Course: Web Development

Neha Kumari

Steps
  1. Proceed to the grouping step in Report Wizard.
  2. Select the field you want to group by, such as Course.
  3. Add the grouping level.
  4. Adjust the grouping order if needed.
  5. Continue to the next step.
Remember: Grouping organizes related records together. It does not delete or change the original records in the table.

7. Sorting Records in Report Wizard

Sorting arranges report records in a particular order. You can sort names alphabetically, dates chronologically, or numeric values from smallest to largest.

Sorting Options
  • Ascending: A to Z or smallest to largest.
  • Descending: Z to A or largest to smallest.
Steps
  1. Proceed to the sorting step in Report Wizard.
  2. Select the field you want to sort by.
  3. Choose ascending or descending order.
  4. Add additional sorting fields if required and available.
  5. Click Next.
Example

If you sort StudentName in ascending order, names are arranged alphabetically.

Before Sorting After Ascending Sort
Rahul Kumar Amit Kumar
Priya Singh Neha Kumari
Amit Kumar Priya Singh
Neha Kumari Rahul Kumar

8. Choosing Report Layout and Orientation

Report Wizard allows you to choose how the information is arranged on the page.

Common Layout Options
  • Stepped: Presents data in a stepped arrangement.
  • Block: Arranges fields in a block-style layout.
  • Outline: Organizes grouped data in an outline-style arrangement.

The available layout choices depend on the report and Access version.

Page Orientation
  • Portrait: The page is taller than it is wide.
  • Landscape: The page is wider than it is tall.
How to Choose
  1. Select the required layout.
  2. Choose Portrait or Landscape.
  3. Review the preview if available.
  4. Continue to the next step.
Tip: Landscape orientation can be useful when a report contains many columns.

9. Naming and Finishing the Report

The final step is to give the report a meaningful name and complete the wizard.

Steps
  1. Enter a descriptive report title.
  2. Choose whether to preview the report or modify its design, if prompted.
